P&R04-01-08MinMINUTES PARKS AND RECREATION ADVISORY BOARD 175 WEST WARREN AVENUE LONGWOOD, FLORIDA April 1, 2008 COMMISSION CHAMBERS Present: Abigail Shoemaker, Chair Bob Driver, Vice Chair Van Olvey, Member David Putz, Member Lori Rice, Member Tammy Uliano, Member Fran Meli, Recreation Program Manager Linda Goff, Recording Secretary 1. 2. 7:00 PM Call to Order. Chair Shoemaker called the meeting to order at 7:03 p.m. Approval of Minutes March 4, 2008 Regular Meeting. Vice Chair Driver moved to approve the minutes of March 4, 2008 as presented. Seconded by Member Uliano and carried by a unanimous voice vote. 3. 4. Public Participation. None. Old Business. A. Recreation Manager's Report. Ms. Meli distributed a magazine from the Florida Recreation and Parks Association (FRPA). She said the City joined the organization as an agency and she would periodically be providing the magazine to the Board Members. Ms. Meli reported the Easter Egg Hunt went very well. Milwee Middle School JROTC did a great job volunteering at this event and they will be recognized at the City Commission Meeting on April 7n'. She estimated there were 1,000 or more people in attendance. She said they had never run out of items before and this year they ran short. She said that they were trying to get away from goody bags for all events. They would rather put the money into the event and have more things for children participation. She advised that the Easter Eggs had items that were too small for the younger children and they will be looking into something appropriate for that age group. P&R 04-01-08/1 Member Putz said he had some questions asked of him for which he did not have the answers. He stated if he had known ahead of time what to expect, he could have answered the questions. He suggested putting together a sheet of commonly asked questions and answers to provide to volunteers. Vice Chair Driver suggested posting the age groups on the fence. Ms. Meli said they were posted on the backstops, but they could also post them on the fence. She stated they want to come up with something different for the golden egg. They have considered putting a smaller golden egg inside a plastic egg. Ms. Meli reported the Basketball Clinic will be starting this month. Yoga will be held on Mondays and Wednesdays. The third Monday and Saturday of the month is the Highway to Health series. Child Care is the topic on Saturday for the month of April and the Monday topic is Cancer. She reported that Blue Grass would be held on April 19a'. Ms. Meli reported that Summer Camp registration started today for residents. There is a reduced rate for those who pay in advance and payments can be made up until camp starts. She advised they are able to accept credit card payments. Summer Camp starts on June 16~ and runs through August l~`. Casselberry also holds their camp at Lyman High School and they do a lot of activities together at the school. However, field trips are separate. She reported the Summer Family Movie Night will begin June 19~'. It will be held on Thursday nights and there will be two movies in June and three in July at the Community Building. She said the next event will be National Night Out on August 5~'. The National Night Out event is in lieu of the Parks and Recreation Advisory Board meeting. 5. New Business. Chair Shoemaker said she would like for the Board and City to think about having a July 4'~ event. She stated perhaps they could do something on a Thursday night similar to National Night Out rather than holding the event on the actual holiday. She said on Thursday night City staff would be here and she would like for the thought to go in that direction. Ms. Meli advised there was nothing budgeted this year for the 4~' of July. She would need to budget for the event. Chair Shoemaker said it could be held during the day and staff would be here. She stated that the Summer Camp could also attend the event. Ms. Meli said staffwould not be available during a work day. Chair Shoemaker asked about sponsorships. P&R 04-01-08/2 Ms. Meli said she could check into sponsorships. She stated she would not be comfortable with Summer Camp coming to a day event. She advised the Community Building would not be available, as it is booked two years in advance. Member Uliano suggested perhaps the week before the 4th of July. She said anything close to the 4a' would be battling with other competition. Ms. Meli said when Reiter Park is finished they are hoping to hold quarterly or monthly music events in the park. She suggested they may need to start with this and let it grow. Chair Shoemaker said she was looking for something for families and that would be a good start. Ms. Meli said they are hoping Reiter Park will be a family used park. She explained that getting sponsors does not alleviate the cost. Funds need to be in the budget to be able to expend. Member Olvey said with the cost of gas, more people will be staying in town rather than traveling for the holiday weekend. Chair Shoemaker said they didn't have anything until National Night Out. She inquired if there was any reason to meet. Ms. Meli said the Ordinance only requires that they meet every other month. She stated there would not be a meeting in November due to the election, and National Night Out was in lieu of a Board meeting. She affirmed the first Tuesday in December was prior to the Celebrate the Seasons event and she would like to meet in December. She inquired if Board Members would be on vacation the week of July 4a'. She stated that July 1 ~` was the date for the July meeting and if they were going to begone, they may desire to cancel this meeting. She said the September meeting is scheduled the Tuesday after Labor Day. The next scheduled meeting is May 6a'. Chair Shoemaker inquired if the Board members wanted to consider cancelling the May meeting. Chair Shoemaker moved to not hold a meeting in May. Seconded by Member Olvey and carried by a unanimous voice vote. Ms. Meli reported there will be aFather-Daughter Dance on June 12a' and the charge is $5 a couple. They are hoping daughters of all ages will bring their fathers. P&R 04-01-08/3 Member Olvey inquired about security in the parks. He said there was a recent incident at Candyland Park on March 15a' where a child was flashing a knife around. He said the Police responded very quickly when called. He stated since that incident he has noticed unmarked cars patrolling. Ms. Meli said she was not aware of this issue at Candyland and thanked Member Olvey for bringing it to her attention. Member Olvey said this was the first time he has seen anything like this. He stated there does seem to be more kids hanging around. Ms. Meli said they have had some vandalism in parks and the police have been monitoring the situation. She stated staffwas generally at Candyland Park, but at times they have to go to other areas in the City. Member Olvey said the young man working for the City was very helpful in keeping the situation under control. 6. Adjournment.
