PARKS AND RECREATION ADVISORY BOARD COMMISSION CHAMBERS 175 WEST WARREN AVENUE LONGWOOD, FLORIDA MINUTES JULY 8, 2003 Present: Mike Hoit, Chairman Chuck Gilmore, Vice Chairman Tetl Daugherty Kim Pflug JoAnne Rebello, 7:02 arrivetl Patti Yorty Leslie Walsh, Recreation Program Coortlinator Paui Sizemore. Administrative Intern Debby Reimers, Recortling Secretary i. Call to order. Chairman Holt called the meeting to order at 7:00 pm. ~ Chairman Holl welcomed Patty Yorty, who was recently appointed to the boartl and the other members of fhe boartl introtluced Themselves. Ms. Walsh introtlucetl Mr S'¢emore to the boartl. The boartl as a whole expressed their sympathy Io Board Member Daugherty because of his wife's illness antl hospitalization. 2. Public Participation There was no public participation. 3. Old Business a. Approve June 3, 2003 Minutes MSC [Gilmore/HOIt] to approve the minutes of the June 3. 2003 meeting. The motion passetl 5-0-1 with one seat vacant on the boartl. b. Coordinators Report Chairman Holt mentioned that fhe Clty Commission approvetl the "ROGc the Park" event and 9rantetl $500 to help cover expenses for the event. P & R -1-07108/03 Ms Walsh asked the board when they want to holtl the event. Her suggestion was to hold the event in October because the board would then have time to advertise the event antl the weather would be nicer. The board discussed when they coultl hold the event based on other events the city was holtling arountl the same time periotl. Ms. Walsh asketl the boartl what type of atlvertisement antl music they anted at the event. She wanted to know if the boartl wanted to charge n atlmission fee. She let the boartl know that during the even) one of the felds al Cantlylantl Park may be in use for a softball game. Member Pflug asked, antl all were in agreement, that the event woultl be heltl from ]'.00 p. m. l0 10:00 p.m. Member Rebello wanted to know what the board thought about possibly welcoming teen bantls to perform at the event, which may bring more teens out as well. Ms. Walsh agreed that there could be teen bantls along with a D.J. at the event. Member Gilmore suggestetl getting a ratlio station instead of a D.J. for the event. Member Pflug said she woultl also like to see a radio station Instead of a D.J. at the event because they always have things to give away. She asked if they coultl get a ratlio station Ilke Mix 105.1 or %L106 ]where they play a variety of music. Member Yorty asked if the bantls would have to audition and if the boartl was going to limit the types of bands that would be allowed to play. Member Daugherty asketl if the boartl thought it woultl be better (o have a D.J. the (first time the evenf was held. Ms. Walsh liketl the idea of having a ratlio station this time because she thought it woultl Increase the turnout al the event. The boartl tlecided to first let Ms. Walsh attempt to get a Ratlio Station for the event and if she was unable to get one, she woultl then secure a D. J. for the event. The event would be held on October 4, 2003 from ]'.00 p. m. -1o:ao p.m. P s R -z- o]foafo3 Ms. Walsh then went over the preparations for National Night Out. She hatl met with Officer Herb Stewartson from the Police Department antl with Mr. Sizemore. She hatl contactetl different attractions and wrote letters to local restaurants in the City of Longwootl for tlonations of tickets, Scots antl footl. She hatl received some responses antl she was working with Sprint and Bright House for tlonatlons as well. Ms. Walsh saitl Officer Stewartson has a cometly club that would come out and perform for 2010 30 minutes. They are sending a demo tape for her to review. Ms. Walsh said she was also working on having a skate board demonstration at the evens as well. Chairman Holt asked if she could get the skate board tlemonstrafion for the °Bike Rodeo' event as well. Member Rebello saitl a local resident, George McKenzie, was donating 1,000 to 1500 glow-in-the-dark necklaces. Ms. Walsh said she was purchasing inkless fnger printing packets. There woultl be Police Explorers available at the event to help anyone who may need help, or parents were welcome to take the packets home to use Them. Ms. Walsh showed a necklace that lights up which she was purchasing for the event. She was looking at getting tattoos as well with the Longwood Police Department star to give away. The event would also have a moon walk and obstacle course. OHlcer Stewartson has requestetl the Hum-V antl the Helicopter for the event. Mike on the Bike, McGruft the Crime Dog, Fredtlie the Flre Engine, and a rollover vehicle, footl and goodie bags would be there as well. Ms. Walsh saitl she was thinking of having a hand stamp for everyone going through. She was working on getting a PA system and she was requesting superheroes. They were going to use a flatbed truck for a stage. Ms. Walsh saitl there would be tickets given for food and prizes. She saitl the event would run from 6'.00 p.m. to 9:00 p. m. and asketl that the volunteers meet at Cantlyland Padc by 500 p.m. She said this event wcultl be advertised on the next water bill. Member Rebello asketl if they were going to have signs on the road this year to announce the event. P 8 R -3- 07/08(03 The boartl finalized the rest of the tletails for the event Since National Night Out was scheduled the same night as the regularly schetluletl Parks & Recreation Atlvisory Board meeting, [he boartl eschetluled their next meeting to Wednesday, August 6, 2003. at ]'.00 p m. 4. New Business Member Pflug let the boartl know that her research shows Longwootl was charleretl 125 year ago and she woultl Ilke to see the city holtl a celebration for their anniversary. She saitl the Cily of Sanford as well as other cities celebrated their anniversaries as well. She envisioned celebrating with bluegrass music along with having cake and ice ong with women tlressetl in periotl attire who would give lours of [he Hilt r'IC Dlstricl. She saitl she was not sure of tha exact tlate when tha titles actual charter was atlopled. She asked ii the boartl could help organize a small celebration. Member Daugherty suggestetl that Member PFlUg coultl contact some of the oltler resitlents for information regartlinq the city's history. He also suggestetl that she coultl talk with some of the oltler citizens who attentl the Bluegrass Festival held at the Community Building every month. Member Ptluq said she thought it woultl be nice if something simple coultl be tlone. She tlid not want to see the city's 125 year anniversary pass without any recognition. The board discussetl the possibility of holding the event al the Community euiltling. Ms. Walsh'mformed the boartl that the builtling was booked solid antl woultl not be available for use. Member Pflug wontleretl if the celebration coultl be heltl on the front steps of City Nall. She saitl the Historic Society was oif for the summer antl does not meet again until September. Ms. Walsh saitl she tloes not see this as a recreational event. She believetl it was a Historic Society event. The board agreetl with Ms. Walsh. It was the consensus of the boartl that Member Pflug wcultl bring her idea to the ext City Commission meeting under Public Participation as a representative of me boom.
