LOCATION: Longwood Commission Chamber 175 West Warren Avenue Longwood, FL 32750 Minutes Present: Lori Rice, Chair Abigail Shoemaker, Vice Chair Nikki Bright, Member Alex Trauger, Member Shawn Anastasia, Member Fran Meli, Leisure Services Director Karen Behling, Recording Secretary Absent: Dave Putz, Member Anna Rivera- Laguer, Member 1. CALL TO ORDER. Chair Rice called the meeting to order at 7:01 p.m. 2. PUBLIC COMMENTS ON ACTION ITEMS: None. 3. STAFF REPORT. Ms. Meli reported the following: November 1, 2011 is Member Anastasia last meeting. Thank you for your time and input. The City of Longwood Leisure Services Brochure has been put in local stores and businesses in the area, was also placed in the Halloween bags, all City offices and the cities web site. Downtown Longwood Cruise -lit would be held every second Saturday of each month starting Saturday November t2, 2011 from 5:00 p.m. until 8:00 pm on Church Avenue. There would be six (6) food trucks in the parking lot off of Ronald Regan Boulevard and up to 100 cars, including the Corvette; Club. P &R 11/1 /2011 /1 Senior Matinee — Third Wednesday of the month, November 16, 2011 at 1:30 p.m. in the Commission Chambers, showing Water for Elephants. Halloween and Face the Fear — Over 2000 people attended the Halloween event and around 450 went through Face the Fear. Great partnership between the City, Covenant Church and Magic 107.7 Skate Park - Slab has been poured waiting for it to cure before equipment installed. Once an actual date for the skate equipment is to be installed then we are going to set a date for the ribbon Cutting. Reiter Park — Dix - Lathrop has started on the construction plans. Waiting on the time -line for completion of the plans. ID Cards — Ms. Mel I asked the board if they have gone to the Police Department to have their photos taken. The board answered not yet but plans to. Celebrate the Season — The event date is .December 3, 20 t 1 from 3:30 — 6:30. We will have (12) twelve craft tables for children. Tree will be lit at 6:30. The entertainment will be provided by Choices in - ]Learning, Woodlands Elementary, Lynlan High School, .Milwee Middle, Show Time Dance studio and a Baber Shop Chorus. If you are able to volunteer, please sign the sheet being passed around. Social Media — Will be presented to the Commission on Monday November 7, 2011. Chair Rice asked about the sign -up sheet duties during the tree light event. She stated to have the HOA groups to hand out the brochures. - Vice Chair Shoemaker spoke in reference to the Halloween event. 4. ACTIONS ITEMS. A. APPROVAL OF MINUTES OF PREVIOUS MEETINGS —October 4, 2011. Member Anastasia moved to approve. Second by Vice Chair Shoemaker for Discussion and carried by a unanimous voice vote with Members Putz, Rivera - Laguer absent. 5. BOARD UPDATES. Member Trauger said that updates to the parks area on the web site have been done. FIe will get with Mr. Chris Capizz], Recreation Coordinator Vice Chair Shoemaker spoke on the round up program that it is a work in progress. She explained her details to the board. Ms. Mel] explains details in reference to moving programs and events to Longwood Elementary School. P &R 11/1/2011/2 Chair Rice stated that it is the Commissioners wish that Longwood Elementary needs to be paid for by all programs that run out of the School. Chair Rice stated that January thru April will be spent on discussion for the budget for 2012/2013 Fiscal Year. Chair Rice stated her project is public /private community partnership with the city and local business, she state that the city administrator thru the commissioners are on fact finding information for Chair Rice. Member Bright asked general questions about events and programs that the City of Longwood run. Member Bright has no more other updates to report on current projects. Member Anastasia asked about Longwood Elementary School Lease. Ms. Meli explained we are leasing the property from the Seminole County School Board on an annual base. Member Anastasia asked about bike /pedestrian trail meeting. Ms. Meli explained more details on this meeting; she also explained there will be a public meeting in January 2012 . for all residents to attend. Member Trauger asked about current adult actives and if they fund themselves. Ms. Meli explained rnore in details that we currently contract out for these actives with an 80/20 split with the city receiving 20% of the revenue, in January we will be re- negotiating with the instructors for a 75/25 split. Member Trauger spoke on his views on the exploratory bike trails. Ms. Meli explained that lie should speak to Ms. Sheryl Bower, Director of Community Development on his concerns. Ms. Meli will confirm public meeting for January 2012. 6. AJOURNMENT. Chair Rice made a motion for adjournment. Seconded Member Trauger.
