LOCATION: Longwood Commission Chamber 175 West Warren Avenue Longwood, FL 32750 Minutes Present: Lori Rice, Chair Abigail Shoemaker, Member Dave Putz, Member Anna Rivera- Laguer, Member Judi Coad, Member Alex Trauger, Member (left meeting at 8:14 p.m.) Fran Meli, Leisure Services Director Karen Behling, Recording Secretary Absent: Nikki Bright, Vice Chair L CALL TO ORDER — 7:01 p.m. 2. PUBLIC INPUT 3. STAFF REPORT The City and Meals on Wheels Agreement approved at 3 -5 -12 City Commission Meeting. The program will begin mid - April. Downtown Longwood Cruise In — Second Saturday of the month, March 10th from 4:00 pin until 7:00 pm on Church Avenue. ]Historic Society's Spring Fling this weekend, March 10 & 11 on Warren Avenue from CR427 to Wilma Ave. ]Leisure Guide will be coming out the beginning of April 2012 which will have spring and fall activities. ]Ball Room Dance Club will meet at the Longwood Elementary School every Sunday evening beginning March 25th. ]Food Truck Extravaganza the 2nd and 4th Tuesday of each month beginning the 4th Tuesday in March at Reiter Park. P &R 3/6/2012 Page 1 Member Shoemaker asked Ms. Meli if the City of Longwood will be providing restrooms ifor the Food Truck Extravaganza. Ms. Meli replied not at this time. Ms. Meli explained that we had a piece of equipment that was removed from Shadow Hill ]Park because the playground company said there had been some injuries. The vendor has given the City of Longwood two options: either a $2000 refund or $4000 credit that needs ,to be used by the end of December 2013. Member Trauger moved to accept the $4000 credit and revisit this item at the next board meeting with examples of equipment that could be re- installed at Shadow Hill Park. Seconded by Member Shoemaker and carried by a unanimous voice vote with Vice Chair ]Bright absent. Ms. Meli explained that "Winn Dixie" will be the primary sponsor for National Night Out. 4. ACTIONS ITEMS A. DISCUSS SPECIAL EVENT BUDGET PREPARATIONS. 1. Unknown Event: Each Board Member needs to bring back to the Board an idea for the Unknown Event to the next meeting. 2.. Halloween: Advertising /Marketing, Pumpkins, Candy, Restrooms, Balloons, Inflatables, Banners, Prizes and Hay 3. Survey for all Special Events Member Trauger left at this point of the meeting. 4. Christmas: Location of tree moved to the Longwood Community Building parking lot grass area. Parents Night Out with craft time included. Celebrate the Season: event to include "Taste of Longwood" located inside the Longwood Community Building. Member Shoemaker left at this point of the meeting 8:30 return 8:32. Street - entertainment, carriage rides, Santa photos, ice skating rink, some crafts, food vendors, printing. Move "Celebrate the Season" to Friday night. Hours for "Celebrate the Season" event 6pm until 9pm. Chair Rice asked about rules for Dog Park to have attorney and insurance company start working on review. Ms. Meli replies that all rules will be run through the City's Attorney. Ms. Meli is waiting to hear back about the grant fund money from the state. 5. BOARD UPDATES. none P &R 3/6/2012 Page 2 6.
