P&R05-03-16MinHISTORIC LONGWOOD .FLORIDA PARKS AND RECREATION ADVISORY BOARD REGULAR MEETING DATE: May 3, 2016 TIME: 7:00 P.M. LOCATION: Longwood Commission Chambers 175 West Warren Avenue Longwood, FL 32750 MINUTES Present: Lori Rice, Chair Judi Coad, Member James Vogel, Member arrived 7:16pm Bruce Harnage, Member Michelle Hendrix, Member Morgan Paris, Member Ben Paris, Commissioner Chris Capizzi, Leisure Services Director Anthony Velardi, Leisure Services Intern Karen Behling, Recording Secretary Absent: Dave Putz, Vice Chair 1. CALL TO ORDER. Chair Rice called the meeting to order at 7:00 p.m. 2. PUBLIC INPUT. — None 3. STAFF REPORT: Mr. Capizzi stated that the Downtown Longwood Cruise In will be held on May 14, 2016 from 5:00 pm until 8:00 pm. The show will be sponsored by Mass Mutual who will be hosting a free seminar in the chamber before the show. Mr. Capizzi stated that the Senior Matinee Movie will be "Dirty Grandpa". It will be held in the Longwood Community Building on May 18, 2016 at 1:30 p.m. Mr. Capizzi reviewed the specific funds that will be put back into the projected 2016/2017 Fiscal Year budget. Mr. Capizzi stated that he would email this information out to the Board. He informed the Board that Leisure Services would be able to hire a new Recreation Coordinator for the FY 2016/2017 budget. Chair Rice asked when the first budget workshop will be. Mr. Capizzi stated the first workshop will be held on June 30, 2016 at 4:00pm in the Commission Chambers. Mr. Capizzi stated that the Central Florida Smash Beer Festival was approved by the Commission. This event will occur on July 30, 2016 at Reiter Park. Mr. Velardi spoke about the upcoming Community Yard Sale. He stated that twenty five vendors have paid in full for the May 21, 2016 Yard Sale. Chair Rice asked where vendors will be parking and if the COP's will be moving their cars. Chair Rice also asked if the City will be purchasing a banner to advertise. Mr. Velardi stated that vendor's cars as well as the COP vehicles will be parked in the back of the school for the event and that banners were purchased for advertising. Member Coad asked Mr. Capizzi for an estimated cost for the installation of the new light at Candyland Park. The light would be placed in close proximity to the existing pavilion. Mr. Capizzi stated the price from Palmer Electric would be $583.00, and another $500 to $700 to pour the concrete pad. Member Coad made a motion to use funds from the chili cook off to install a light in Candyland Park by the pavilion beside the tennis court for safety reasons. Motion seconded by Member Hendrix, motion passes 5-0-2. 4. ACTION ITEMS. A. Approve Minutes from April 5, 2016 Regular Meeting. Member Harnage motioned to approve minutes from April 5, 2016, seconded by Member Hendrix. Motion passed 5-0-2 B. Discuss Cancelling July 5, 2016 Meeting. Ms. Behling reviewed alternate dates for utilizing the Commission Chambers in order to hold the July meeting. Mr. Capizzi will be out of town the first week of July. Chair Rice made a motion to cancel July 5, 2016 regular Parks and Recreation meeting and not reschedule. Motion seconded by Member Hendrix. Motion passed 6-0-1. C. Board Member Reports Member Coad stated that she is working with staff on getting a letter out to the past sponsors from Celebrate the Season to see if we can lock down some sponsorship early for this event. Member Hendrix updated the Board on the date for Barkfest which will be held October 15, 2016. She stated that the dog park will be closed for a few days to fix the drainage issue. She is looking at doing a Food Festival during a date in March 2017. Member Harnage would like to send out vendor letters to the Chili Cook off sponsors and cookers. Chair Rice stated there will be a sock hop on May 22, 2016 at Longwood Elementary School Doors will open at 5:30pm. She also stated the Sundancers are holding a Luau dance in July. Chair Rice asked for an update on the skate park equipment arrival.. Mr. Capizzi stated that Mr. Bikes and Board will transporting the equipment back down from Pennsylvania himself and should arrive on or around the 16" of May. Chair Rice reminded the Board of the Vietnam Traveling wall arriving on June 8. Member Paris has no report Member Vogel updated the Board on the German Festival that was held last month. He and Collette from Collette's Clean Eats met with vendors and the dance group that works with this festival. There was a general interest from these parties to bring an event to Longwood. There would also be a blueprint from which an event could be built around instead of having to start fresh and reinventing the wheel. D.
